Getting Started

Account setup and first steps

WhatsLoop is a comprehensive Saudi platform for managing business operations through WhatsApp. You can reply to customers, send marketing campaigns, build smart bots, manage your customer service team, and connect your online store, all from one screen.

Yes. WhatsLoop uses the official WhatsApp Business API from Meta. All messages go through officially approved channels, and your number gets verified with a green badge.

Go to the registration page, enter your details (name, email, phone number, and company name). Then you can connect a WhatsApp number and start immediately. The entire process takes less than 5 minutes.

Setup takes just minutes. Create your account, connect your WhatsApp number via QR scan or official Meta activation, and start receiving messages immediately.

You can use your existing number or register a new one. The only requirement is that the number isn't currently connected to WhatsApp Business or regular WhatsApp at the time of linking. If you have an active number, we can help you migrate it.

WhatsLoop works as a fully responsive web platform that you can open from any browser on any device (desktop, tablet, mobile). A dedicated mobile app is under development and will be available soon.

Not at all. WhatsLoop is designed for merchants, not developers. Everything is done with drag-and-drop and visual settings. If you can use regular WhatsApp, you can use WhatsLoop.

No. WhatsLoop works in any country. The platform is designed in Arabic and English and serves customers in Saudi Arabia, UAE, Egypt, Kuwait, and other countries. Support is available in both languages.

Yes. We provide tools to import contacts from CSV or Excel files. Our support team also helps you migrate data from other platforms without losing anything.

The free plan has a limited count. Paid plans support unlimited contacts. You can import thousands of numbers and organize them into groups and labels.

Channels

Supported channels and connection methods

WhatsLoop supports 3 communication channels: WhatsApp (both via WhatsApp Business app or official Meta Cloud API), Email, and Live Chat directly from your website or app. All channels feed into one unified inbox.

WhatsApp Business connection is done by scanning a QR Code or entering a Pairing Code from the WhatsApp Business app on your phone, and it is quick, easy, and instant. Official WhatsApp (Cloud API) is done through Meta Business and gives you the green verified badge, higher sending limits, and better stability for large campaigns.

From the dashboard, choose "New Connection" then "WhatsApp Business". A QR Code appears for you to scan from WhatsApp Business on your phone, or choose "Pairing Code" and enter the 8-digit code. Connection completes in seconds.

From the dashboard, choose "New Connection" then "Official WhatsApp". The system guides you to Meta Business to officially register your number. After Meta confirmation (usually within minutes), your number is ready with the green verified badge.

Yes. You can connect multiple WhatsApp numbers to the same account, whether all via QR, all official, or a mix of both. Each number operates independently with its own bots and settings.

Yes. You can connect your support email (e.g., support@yourstore.com) and receive/reply to customer emails from the same dashboard. They convert to conversations just like WhatsApp, with the same experience and tools.

Live Chat is a chat widget you add to your website or app. Visitors communicate with your team directly without needing to open WhatsApp. Messages appear in the same unified inbox and the team replies using the same workflow.

All messages from all channels (WhatsApp, email, live chat) appear in one place. You can filter by channel or view them all together. The team replies from the same interface regardless of message source.

Yes. WhatsLoop works on the shared number principle, meaning one WhatsApp number with an entire team behind it. Customers contact one consistent number regardless of which agent replies.

Yes. Each channel has independent settings: different welcome message, different bot, different working hours, and different team routing. You can customize the experience based on where the customer came from.

Conversations

Managing conversations, replies, and media

All customer messages appear in a unified inbox. You can reply with text, voice, images, files, or even interactive messages (buttons and lists). Everything from one screen without opening WhatsApp on your phone.

Quick Replies are pre-saved messages you can send with one click or a shortcut (like /thanks). They save a lot of time when questions are repetitive.

Yes. You can distribute conversations manually or automatically (round-robin or by department). Each agent only sees conversations assigned to them.

From channel settings, enable the WhatsApp widget and copy the JavaScript code. Paste it into your website and a chat bubble will appear that opens a WhatsApp conversation directly with your team.

Yes. You can send and receive images, video, PDF documents, audio files, and location pins. Maximum file size depends on type (images up to 5MB, video up to 16MB, documents up to 100MB).

Yes. You can search by name, phone number, message content, or label. Results appear instantly and you can jump to the conversation directly.

Yes. WhatsLoop supports customizable Labels, for example: new customer, pending order, VIP, follow-up. You can filter conversations by label.

Yes. You can enable sound and visual notifications for every new message. It also supports browser Push Notifications even when the platform is in the background.

Yes. WhatsLoop supports all interactive message types: quick reply buttons, option lists, link buttons, and product messages. They increase customer engagement and make choices easier.

Yes. All conversations are fully stored in WhatsLoop cloud. You can go back to any old conversation, export it as a file, or search within it. No storage time limit on paid plans.

Building smart bots and automation scenarios

From the Automation section, use the visual bot builder (drag & drop). Set the trigger (a specific keyword or first message), design the conversation flow with buttons and menus, and activate the bot. No coding required.

An auto-reply is a single message that responds to a specific keyword. A bot is smarter: it builds an entire conversation with branches and options, collects customer data, and guides them based on their choices.

Yes. WhatsLoop supports WhatsLoop AI that suggests smart replies during conversations based on context and your knowledge base. You can also build AI-powered bots that answer complex questions.

Scenarios work with logic: if something happens → execute an action. For example: if a customer doesn't reply within 24 hours → send a follow-up. Or: if a new order arrives from Salla → send WhatsApp confirmation. All built visually.

Yes. You can schedule messages for a specific customer or group at a specific date and time. Useful for reminders, follow-ups, and seasonal offers.

Yes. The bot works non-stop even when your team is offline. You can set bot working hours or keep it running always and hand off to the team when human intervention is needed.

Yes. You can build unlimited bots. For example: a sales bot, a support bot, an appointment booking bot. Each bot works with a different trigger and serves a different purpose.

Yes. The bot can ask customers questions (name, email, city, order type) and save answers automatically in the CRM. You can use this data later for campaigns and segmentation.

Yes. The bot supports HTTP Webhooks, so it can send data to any external API or receive responses and display them to the customer. For example: check order status and return the answer from your system directly.

Yes. WhatsLoop provides a library of ready-made templates for common use cases: welcome, data collection, appointment booking, FAQ, order tracking, and more. Use them directly or customize.

Campaigns

Sending marketing campaigns and analyzing results

From the Campaigns section, choose a Meta-approved message template, select your target audience (from contacts or by filters), schedule or send immediately. You can track statistics in real-time.

Message Templates are pre-approved messages from Meta that you can send to customers you haven't contacted in 24 hours. They include text + buttons + media. They must be approved before use (usually within minutes).

The limit depends on your Meta account tier. You start with 1,000 messages/day and it automatically increases with good usage up to unlimited. WhatsLoop manages this automatically.

WhatsLoop protects you with a smart system that monitors message quality. Tips: use approved templates, only message opted-in contacts, monitor report rates, and avoid sudden massive sending. The platform alerts you if there's risk.

Yes. For each campaign you can see: sent count, delivered, read, replies, open rate, and conversion rate. You can export reports or monitor them from the dashboard.

Yes. Campaign templates support: text only, text + image, text + video, text + document, and even interactive messages with buttons. Each type needs separate Meta approval.

Yes. You can filter contacts by: label, city, date added, last interaction, or any custom field. Send the campaign only to the targeted segment.

Yes. You can send two different message versions to a small sample, compare results (open and reply rates), then send the winning version to the rest of the list.

Yes. Set the date and time and the campaign sends automatically. Useful for seasonal offers (Ramadan, Black Friday) or sending during peak engagement times.

A campaign sends the same template to a large group at once with detailed analytics. Individual send is a personalized message to one customer, either with a template or a free-form message (within 24 hours).

Yes. WhatsLoop integrates with Salla and Zid with a single click. It automatically sends: order confirmation, shipping updates, abandoned cart reminders, and post-sale messages. All without manual intervention.

From the Integrations section, choose your platform (Salla, Zid, WooCommerce, Shopify). Follow the steps, which usually means copying an API key or clicking "Connect". The process takes less than 5 minutes.

Yes. WhatsLoop provides a complete REST API with detailed documentation. You can send messages, manage contacts, create templates, and receive notifications. Documentation available at docs.whatsloop.net.

From API settings, add your Webhook URL. WhatsLoop sends you instant notifications when: a new message arrives, message status changes, bot interaction occurs, and more. All requests are HMAC-signed for security.

Yes. WhatsLoop has a built-in CRM, and also integrates with external systems via API or Zapier. Customer data, conversation history, and labels all sync automatically.

Yes. You can connect WhatsLoop with over 5,000 apps via Zapier or Make (formerly Integromat). For example: when a customer fills a Google Form → automatically send a WhatsApp message.

Yes. WhatsLoop integrates with Shopify to send order notifications, shipping updates, and recover abandoned carts automatically. Connect in minutes from the Integrations panel.

From the Integrations panel, each connection shows its status (active/disabled) with a log of recent syncs. If an error occurs, a clear message appears with fix steps.

Team Management

Adding agents and distributing tasks

Yes. One WhatsApp number, a whole team behind it. Each agent logs in with their own account, sees only their assigned conversations, and replies under the company name. No agent limit on professional plans.

From Team settings, you can give each agent specific permissions: view conversations only, reply, send campaigns, manage bots, or full access. Every role is customizable.

Yes. The dashboard shows: conversations per agent, average response time, customer satisfaction (CSAT), closed conversations, and online time. You can export reports daily or monthly.

WhatsLoop supports multiple distribution methods: Round-robin (alternating), by department/specialty, by least loaded, or manual. You can set custom rules, for example routing VIP customers to a specific agent.

Yes. You can add internal notes to any conversation that only the team can see (not sent to the customer). Useful for transferring conversations or adding context.

From Team settings, click "Add Agent", enter their email and name, and choose permissions. The agent receives an email invitation and can log in immediately.

Yes. You can set working hours for each agent. Outside working hours, conversations are distributed only to available agents or handled by the bot.

Yes. As a manager, you can view all conversations (open and closed) for any agent. You can monitor reply quality and intervene if needed.

Yes. You can create departments (sales, support, billing) and assign agents to them. Conversations are automatically routed to the appropriate department based on customer keywords or bot selection.

From Team settings, you can temporarily deactivate an agent account (preserving their history) or permanently delete it. Their assigned conversations transfer to available team members.

Billing & Plans

Pricing, payment methods, and cancellation

Yes. We offer a free plan you can start with no credit card required. It includes a limited number of conversations and messages. Suitable for testing and small projects.

Plans differ in: monthly conversation count, number of agents, automation features, campaign volume, and available integrations. The pricing page shows a detailed comparison of all plans.

From subscription settings, choose your new plan. Upgrades activate immediately with prorated pricing. Downgrades take effect at the start of the next billing cycle.

You can cancel your subscription at any time from your account settings. There are no long-term contracts or cancellation fees. After cancellation, service continues until the end of your paid period.

We support: credit cards (Visa, Mastercard), Mada, Apple Pay, bank transfer, and STC Pay. Monthly invoices are generated automatically and can be downloaded from the dashboard.

Yes. All displayed prices include VAT (15%). The invoice breaks down the amount before and after tax.

Yes. Annual subscription saves you two months (~17% off compared to monthly). The plan activates immediately and lasts a full 12 months.

Yes. All invoices are automatically generated in approved tax format including: tax number, tax breakdown, and company details. Download them from the Invoices section.

We send reminders before and after the renewal date. If payment isn't received within 7 days, message sending pauses (receiving continues). Your data remains saved for 30 days.

Yes. The Enterprise plan is designed for large companies with: unlimited API, guaranteed 99.9% SLA, dedicated account manager, and custom integrations. Contact us for a quote.

Security & Privacy

Data protection, encryption, and compliance

Yes. Data security is our top priority. All data is encrypted in transit (TLS 1.3) and at rest (AES-256). We apply industry best practices and undergo regular security audits.

Data is stored in ISO 27001 certified data centers in the Middle East region. Servers are physically and electronically protected with automatic daily backups.

Yes. We comply with Saudi Personal Data Protection Law (PDPL) and European GDPR standards. You can request a copy of your data or its deletion at any time.

Yes. We recommend enabling two-factor authentication for your account. Supports: SMS, Authenticator app, or security key. Protects your account even if your password is compromised.

From account settings, request data deletion. After confirmation, we delete all your personal data and conversations within 30 days. This process is permanent and irreversible.

Yes (on Enterprise plan). You can specify allowed IP addresses for dashboard access. Useful for companies that want to ensure access only from the office network.

Yes. Every action in the account is logged: login, settings changes, data deletion, campaign sends. You can review the log and know who did what and when.

We have an immediate response plan: isolate the affected account, notify the user, investigate the cause, and fix the vulnerability. We commit to notifying affected parties within 72 hours per PDPL.

Yes. Automatic daily backups for all data. If any issue occurs, we can restore your data to any point within the last 30 days.

No. WhatsLoop team cannot access your conversations or customer data. Access is restricted only to your team based on permissions you set. Even tech support requires your permission.

SLA is our official commitment to service quality: guaranteed uptime, support ticket response speed, and issue resolution time. Each plan has a different SLA level.

We guarantee 99.9% uptime for all paid plans. That means less than 45 minutes of downtime per month. Enterprise plan guarantees 99.95% with automatic compensation if breached.

Depends on plan: Free plan within 48 hours, Professional within 12 hours, Business within 4 hours, and Enterprise within 1 hour. Urgent tickets (service down) get top priority.

We support you via: support tickets from the dashboard (all plans), direct WhatsApp (paid plans), and video/voice call (Enterprise). Knowledge base and tutorial videos are available 24/7 for everyone.

On the Enterprise plan, yes. You get a dedicated account manager who knows your account details, helps with setup, suggests improvements, and is your first point of contact for any request.

We have an immediate response plan: notification on the status page (status.whatsloop.net), email alert to subscribers, updates every 15 minutes until resolved. Enterprise clients are contacted directly by their account manager.

Yes (Enterprise plan). If uptime drops below the agreed percentage, you automatically receive credit compensation deducted from your next invoice. The amount depends on downtime duration.

Yes. Our entire support team speaks Arabic. All tickets, replies, and calls are in Arabic. English support is also available for those who prefer it.

Yes. status.whatsloop.net shows the real-time status of all services: platform, WhatsApp API, email, AI, and Webhooks. You can subscribe to alerts.
